Top tips for conducting an employee engagement survey responsibly.

Obtain Informed Consent Transparently

  • Always tell employees:

    • Who is conducting the research

    • What it’s about and why it’s being done

    • Whether responses will be anonymous

    • How the data will be used and shared

  • Consent must be freely given — employment contracts do not count as valid consent on their own.

Protect Anonymity and Confidentiality

  • Ensure employees can’t be identified in reports unless they explicitly agree.

  • Be cautious with small sample sizes, detailed job roles, or quotes that could inadvertently reveal identity.

  • Combine results from small groups if needed to protect anonymity

Avoid Coercion

  • Participation must be voluntary — employees should never feel forced to take part.

  • Allow people to opt out or withdraw at any time without consequences.

Communicate Purpose and Outcomes

  • Use internal communications (e.g. emails, intranet, posters) to:

    • Explain why the research matters

    • Show how past research has been used

    • Reinforce anonymity and benefits to staff

Observations and Recordings

  • Do not observe or record groups unless necessary, and only with full, informed consent.

  • Disclose if any senior staff or clients will observe, and let participants withdraw if uncomfortable.

Reporting Results Responsibly

  • Share only aggregated or anonymised data.

  • Avoid publishing sub-group results with fewer than 10 participants.

  • Never use anonymous feedback as the sole basis for disciplinary action.

  • Agree in advance how employee complaints or concerns will be reported back.
